Freshers' Week 2022: Stall Registration

Thanks for your interest in registering to attend Freshers' Week 2022

We're keen to get as many organisations as we can along during the week, so we've kept stall fees down to make it as affordable as possible for you. 

Organisations will be invoiced on confirmation of your booking, and payment must be received prior to the start of the event. All bookings are provisional until confirmed by ECSA.

  • Businesses will be charged £50 per day, or £150 for the four
  • Registered charities and public sector organisations will not be charged

General

  1. Edinburgh College Students’ Association is committed to providing the best student experience we can for our 20,000 members – every event we hold is aimed at improving that experience and we should be confident that our partners and external organisations taking part in our events are just as committed.

  2. Freshers’ Week is the first large scale event of the academic year for many students and we strive to provide a fun, interactive, supportive and exciting atmosphere, open & accessible to the entire College community.

  3. We, therefore ask that all participants read and adhere to the following terms & conditions in order to deliver a successful Freshers’ Week for all involved.

Booking & Payment

  1. Receipt of completed booking forms does not constitute a booking until full payment has been made. Your stall is not reserved until payment is complete.

  2. Failure to attend the fair or cancellation later than Friday 26th August 2022 will not be subject to a refund.

  3. Payment for your stall is due on submission of the booking form

 

Delivery of Goods and Parking

  1. Parking at each campus cannot be guaranteed as it will be provided on a first-come, first-served basis. Full details of location and facilities on each campus are available on the Edinburgh College Website on http://www.edinburghcollege.ac.uk/Welcome/Our-Campuses

  2. Delivery of items by a third party is permitted on the day of each fair, but please ensure a member of your organisation is on-site to accept them. Some deliveries can be made & stored prior to the event, but this must be discussed and agreed directly with Students’ Association staff before the event.

 

Stalls & Distribution of Materials

  1. Every stall comes with a table and chairs are available on request. If you require any additional facilities (e.g. power supply, internet access, etc.), requests must be received by ECSA by Monday 22nd August 2022 in order to decide feasibility.

  2. Stallholders are limited to the standard designated stall space due to health & safety stipulations and the finite space available. If you require additional space, you must make ECSA aware of this prior to the event. Please note this may incur an additional cost above the stated stall prices.

  3. All materials utilised on your stall (including boxes, papers and give-aways) must be stored beneath or behind your stall and taken away at the end of the fair.

  4. Any materials distributed on campus should not breach any Edinburgh College or ECSA policy. A full list of College Policies can be found at http://www.edinburghcollege.ac.uk/Welcome/Governance/College-Policies 

  5. As part of our ongoing commitment to the environment, stall holders should be aware that this year we have a ban on stall holders giving out plastic bags and would request any giveaways be done in paper or cotton bags. Furthermore, we would encourage you to recycle any unwanted materials at the end of each day – for more information about recycling, please get in touch with a member of ECSA staff on the day of the event.
